Privacy policy
Last updated: September 2026
Redmarsh Property Maintenance Limited (Company No. 17451573), ("Company", "we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our website and cleaning services.
We are registered in England and Wales and comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and other applicable data protection laws.
1. Data controller information
Redmarsh Property Maintenance Limited (Company No. 17451573) is the data controller responsible for your personal data.

- Company Number: 17451573
- Email: admin@aquaprocarpetcleaning.com
- Phone: 01268 225511
- Website: https://aquaprocarpetcleaning.com
2. Information we collect
We collect information that you provide directly to us when you:
- Request a quote or contact us
- Book our cleaning services
- Communicate with us by phone, email, or through our website
2.1 Personal information
This may include:
- Name and contact details (email, phone number)
- Service address
- Details about your cleaning requirements
- Payment information (processed securely)
- Any correspondence between us
2.2 Technical information
When you visit our website, we may automatically collect:
- Your IP address
- Browser type and version, and device type
- Pages visited and time spent
- Referring website, and any advertising click identifier in the link you arrived on
- A random visit identifier, so a later enquiry can be linked to how you first found us
Section 9 lists the analytics and advertising technologies involved and what each one receives. Where we send information to an advertising provider to measure an enquiry, your email address and phone number are hashed first, which means they are sent as an irreversible value rather than in readable form. Your IP address is sent in readable form, because those providers require it to match the enquiry to the click.
3. How we use your information
We use your information to:
- Provide quotes and respond to enquiries
- Deliver our cleaning services
- Process payments
- Send service confirmations and reminders
- Improve our services and website
- Comply with legal obligations
4. Legal basis for processing
We process your personal data under the following legal bases:
- Contract: To provide the cleaning services you have requested
- Legitimate Interests: To respond to enquiries and improve our services
- Legal Obligation: To comply with tax and business regulations
- Consent: Where you have given explicit consent for marketing communications
5. Data sharing
We do not sell your personal data. We may share your information with:
- Payment processors: To take payments securely
- Professional advisers: Accountants or legal advisers where necessary
- Debt collection agencies and solicitors: Where an invoice is overdue and we need to recover it, we share only what is necessary to do so. Our lawful basis is our legitimate interest in recovering money owed to us.
- The courts: Where we need to bring or defend a claim
- Legal authorities: If required by law
6. Images we take
On every job we photograph, and sometimes film, the areas we clean, before and after. We do this to record the condition we found and the work we did, and to resolve any question that arises afterwards. Our lawful basis is our legitimate interest in evidencing our own work, and clause 6.5 of our Terms & Conditions explains that we cannot carry out the work without these records.
Marketing use is separate and optional. We only use images from your job in our marketing if we have asked you and you have agreed. We may ask in person, over the phone or in writing, and we record your answer on the job. Our lawful basis for that use is your consent. If you say no it makes no difference to your service, your price or your rights, and we still take the work-record photographs described above. You can change your mind at any time, including after publication: tell us and we stop using the images and remove copies from anywhere we control as soon as we reasonably can. We do not include people, faces, house numbers, street views, personal possessions, documents or artwork in marketing images, and at commercial premises we also need the client's written permission.
We do not routinely send these images to customers, but you are entitled to them. Ask us and we will send you the images from your job. Because they form part of your customer record, your right of access in section 8 covers them, and we will respond within one month. The retention periods in section 7 say how long we hold them.
7. Data retention
We keep your personal data for the following periods:
- Enquiries and quotes that do not become bookings: 24 months from your last contact with us
- Customer records and job history: 6 years after the end of the financial year in which we last worked for you. Financial records run from the financial year end rather than from your last job, which is why this is not measured from the job date
- Before-and-after images as a work record: 6 years after the job
- Images used in marketing: until you ask us to stop, or 3 years after we last use them
- Website analytics: 13 months
We retain your personal data for as long as necessary to:
- Provide our services to you
- Comply with legal requirements (typically 6 years for financial records)
- Resolve disputes and enforce agreements
We may keep a record longer where a complaint, an insurance claim, a legal claim or a specific legal obligation requires it. Where we do, we limit its use to that purpose and review whether it is still needed. We also keep a minimal record of a marketing opt-out or withdrawal, so that we do not contact you again by mistake; that record is never used to restart marketing.
8. Your rights
Under UK GDPR, you have the right to:
- Access: Request a copy of your personal data
- Rectification: Request correction of inaccurate data
- Erasure: Request deletion of your data (where applicable)
- Restriction: Request restriction of processing
- Portability: Request your data in a portable format
- Object: Object to processing based on legitimate interests
- Withdraw consent: Where processing is based on consent
To exercise any of these rights, please contact us at admin@aquaprocarpetcleaning.com.
9. Cookies and similar technologies
Our website uses cookies and similar technologies. Some are needed for the site to work and to remember your display and privacy choices. The rest are optional: they tell us how the site is used and measure which adverts lead to enquiries.
These are the technologies in use, what each is for, and what it involves:
- Google Analytics (Google) — optional. Understanding how visitors use the site, so we can improve it. Pages viewed, how you arrived, approximate location, device and browser, and an analytics identifier stored in your browser.
- Google Ads (Google) — optional. Measuring which adverts lead to enquiries. An advertising click identifier, and — when you send an enquiry — an irreversible hashed form of your email address and phone number, so Google can match the enquiry to the click.
- Meta Pixel and Conversions API (Meta (Facebook and Instagram)) — optional. Measuring which Facebook and Instagram adverts lead to enquiries. An advertising click identifier and Meta’s own cookies, and — when you send an enquiry — a hashed form of your email address, phone number, name and postcode sent from our server, plus your IP address.
- ChatGPT Ads pixel and Conversions API (OpenAI) — optional. Measuring which ChatGPT adverts lead to enquiries. An advertising click identifier, and — when you send an enquiry — a hashed form of your email address, your postcode, country and IP address. Your phone number is never sent to OpenAI.
- Vercel Web Analytics (Vercel (our hosting provider)) — optional. Page-level traffic and performance measurement. Page visited, how you arrived, country, and device type.
- Our own visit cookies (vid, sid) (Us) — optional. Recognising a returning visit, so that an enquiry can be linked to how you first found us. A random identifier only. These carry no name, contact details or address, and are not readable by scripts on the page.
- Our own preference and test cookies (Us) — needed for the site to work. Remembering which version of the quote form you were shown, and your opening-hours display. A single letter for the page version, and a cached copy of our opening hours.
The optional technologies above are currently set when you arrive on the site. We are implementing a control that will let you accept or refuse each optional category before they load. Until that is in place, you can refuse or remove them through your browser's cookie settings, and through the opt-out each provider offers. Refusing them does not prevent you from using this site, requesting a quote, or contacting us by phone or email.
We do not sell your personal information, and we do not put your enquiry details, notes, access information or payment information into any advertising technology.
10. Data security
We implement appropriate security measures to protect your personal data, including:
- Secure HTTPS encryption on our website
- Secure payment processing
- Limited access to personal data
- Regular review of security practices
11. Changes to this policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated revision date.
12. Complaints
If you have a concern about how we handle your personal information, you can complain to us by email, phone or post using the details in section 13. You do not need to use a particular form or mention any legislation, and we will help you set out the issue if that is easier.
We acknowledge a data protection complaint within 30 days of receiving it, make appropriate enquiries, consider it without undue delay, keep you informed of progress, and explain the outcome and any action we will take. Our own process does not affect your right to go to the regulator or to seek a remedy through the courts. You can complain to the Information Commissioner's Office at any time:
